Our approach

At Adminimise, we believe your personal information belongs to you. Adminimise exists to help you organise household life admin by storing information, documents and reminders in one place. Protecting privacy is fundamental to that service.

Who we are

Adminimise is operated by Possibility? Digital Ltd, trading as Adminimise. Possibility? Digital Ltd is the data controller responsible for personal information processed through Adminimise. Account information

When you create an account, we process your first name, surname, email address, authentication identifiers, account settings and preferences, and records of acceptance of relevant Terms and Privacy versions. A telephone number and address may be added to your profile later but are not required at sign-up. We do not ask for your date of birth. Passwords are handled through secure authentication systems and are not stored by Adminimise in readable form.

Information you choose to store

Users decide what information to add to Adminimise. This may include insurance information, utility information, vehicle information, subscriptions, household commitments, warranty information, important dates, renewal dates, provider information, costs, notes and uploaded documents. Users retain ownership of this information.

Plans, allowances and household membership

We process household plan and entitlement information, active-record and document storage usage, household membership and invitation records, and complimentary or promotional Premium entitlement records so that Adminimise can provide the correct features and allowances. Household members can access information and documents belonging to the shared household.

Money Hub

Money Hub is a dedicated part of Adminimise in which Premium households can organise financially sensitive household information and create, edit and delete financial life-admin records using the established Adminimise record system. This may include information about mortgages, savings, ISAs, loans, pensions, insurance and other financial commitments. This ordinary financial information is not described as special-category data under UK data-protection law. Money Hub is an organisational tool and does not provide financial, investment, tax or insurance advice, banking, budgeting, open banking, investment management or regulated financial services.

Sensitive information

Adminimise does not deliberately ask users to provide special-category information such as health, religious, political, biometric or sexual-life information. Because users can add notes and documents, users should avoid storing unusually sensitive personal information unless it is genuinely necessary for their own purposes.

Technical and security information

Where generated by Adminimise or its service providers, limited technical information may include IP address, browser or device information, authentication events, request information, security events, error or diagnostic information and operational logs. Adminimise has configured its scheduled reminder functions so individual user email addresses and user IDs are not unnecessarily included in routine completion logs.

To provide Adminimise

Lawful basis: contract. We use information to create and manage accounts, store records, display information, store documents, synchronise information, deliver reminders and provide support.

To keep Adminimise secure and reliable

Lawful basis: legitimate interests. We use information to prevent misuse, investigate technical problems, protect accounts and infrastructure, improve reliability and maintain security. Our legitimate interests are considered against users' rights and reasonable expectations.

Legal obligations

Lawful basis: legal obligation. We may process information where necessary to comply with legal requirements, regulatory obligations, court orders, accounting or tax requirements where applicable, and lawful requests from authorities.

Optional marketing

Lawful basis: consent. We will not send marketing emails unless a user has chosen to receive them. Marketing consent is separate, optional, unticked by default and withdrawable at any time.

Household Sharing

A household owner can invite other people to join the household. Each person uses their own Adminimise account and login. Active household members can access the household's shared records and documents and may create or edit shared records according to their current product permissions. Membership is controlled within Adminimise. Removing a household member removes their future access but does not automatically delete shared household information.

Reminder and service emails

The current active household owner controls the household reminder policy, including default reminder timing, follow-up frequency, recurring-item timing and overdue treatment. Weekly briefing and Record reminder emails are personal choices for each user. Non-owner members do not automatically receive every household record reminder: they can choose individual records to follow, and followed records use the record's own timing where set or otherwise the household reminder timing, rather than a separate personal schedule. Service emails may contain selected information from records, such as record title, category, due or renewal timing, and information needed to explain what requires attention. Uploaded document contents are not sent through reminder emails. Adminimise may still need to send essential account, security, privacy or legal communications.

Documents

Documents uploaded to Adminimise are stored using Supabase Storage. The production Supabase project is hosted in London, United Kingdom (eu-west-2). The Adminimise documents storage bucket is configured as private. Documents are not publicly accessible, require authenticated access, are protected by access policies, are stored under user-specific paths and are not routinely viewed or analysed by Adminimise.

Limited document access

Limited access to documents may occur where reasonably necessary to provide support requested by the user, investigate a technical or security issue, comply with a legal obligation, protect Adminimise or its users, or act with the user's permission.

Third-party processors

Adminimise uses selected service providers to operate the platform. Current principal providers include Supabase for authentication, database and document storage; Netlify for website hosting and serverless or scheduled functions; Resend for delivery of reminder, briefing and other service emails; and Stripe for Premium checkout, subscription billing and customer billing management. These providers process information needed to provide their services under their applicable contractual, security and international-transfer arrangements.

Payments, refunds and Stripe

Stripe processes payment credentials and Premium transactions. Adminimise does not receive or store full card numbers. We process limited metadata needed to administer Premium, including billing-owner, customer and subscription identifiers, billing interval and selected plan, immediate-start acknowledgement evidence, purchase and renewal information, cooling-off/refund request and status, and transactional renewal-notice delivery records.

International transfers

The core Adminimise database and document-storage project is hosted in London. Some service providers or their subprocessors may process personal information outside the United Kingdom. Where a restricted international transfer occurs, Possibility? Digital Ltd will use an appropriate transfer mechanism where required, such as UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved Standard Contractual Clauses, or another lawful mechanism.

Anonymous and aggregated insights

Adminimise may analyse information across users to understand general household trends and improve the service. Where we create anonymous or aggregated insights, we take steps designed to ensure that individual users and households cannot reasonably be identified. We will not publish information based on groups so small or distinctive that an individual household could reasonably be identified. Anonymous or aggregated insights may be used to improve Adminimise or produce statistical reports. We do not sell identifiable personal information or identifiable household information.

Cookies

Adminimise uses cookies and similar technologies as explained in the Cookie Policy. Essential technologies may be used for authentication, security, user preferences and core functionality. Non-essential analytics or similar technologies must not operate before any consent required by law has been obtained.

Retention

We keep information only as long as reasonably necessary. Account information, records and documents are generally retained while an account remains active. Payment/refund metadata and immediate-start evidence are retained for up to seven years after the relevant transaction where needed for accounting, consumer disputes or legal obligations. Renewal-delivery records are retained for up to two years after the relevant renewal. Deletion remains subject to limited backups and legally required records.

Your rights

Depending on the circumstances and lawful basis, users may have rights to access, correct, delete, restrict or object to processing, request data portability and withdraw consent. In particular, you may object where we rely on legitimate interests, although that right is not absolute in every situation. Requests can be made to privacy@myadminimise.com.

Complaints

You have the right to complain to the Information Commissioner's Office. We would appreciate the opportunity to address your concerns first, but you do not have to contact us before making a complaint to the ICO.

Automated decisions

Adminimise does not currently use personal information to make solely automated decisions that produce legal or similarly significant effects about users.

Children's privacy

Adminimise is intended for adults aged 18 and over. We do not knowingly provide accounts directly to children.

Smart Scan

Smart Scan, OCR and AI document analysis are not live and are not covered as active processing in this version.

Security

We use technical and organisational measures designed to protect personal information. These include authenticated access, restricted document storage, access controls, secure cloud infrastructure and encrypted web connections. No online service can guarantee absolute security.

Changes

As Adminimise develops, we may update this Privacy Policy from time to time. If we make significant changes, we will notify users where appropriate. The latest version will always be available on this page.
